Who we are

Here at Cogworx, we are committed to maintaining the trust and confidence of our clients and user research participants, as well as other visitors to our website. We want you to know that we’re not in the business of selling, renting or trading email lists with other companies and businesses for marketing or research purposes. We just wouldn’t do that. However, if you would like more reassurance, in this Privacy Policy, we’ve provided detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure. Types of data we collect

We use a third party service, Wix, to host our website (www.cogworx.com). We collect anonymous information through Wix about users’ activity on our website, for example, the number of users viewing pages on the site, to monitor and report on the effectiveness of the website and to help us improve it.

Google Analytics 

When someone visits www.cogworx.com we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of our site, and how long they stay with us. This information is only processed in a way that doesn’t identify any individuals. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Website contact form submissions

When you enter your information into our contact form, this is sent to Cogworx via an email alert containing the information you supplied. This information is also stored in the Cogworx Inbox hosted by Wix.com. You can read their Privacy Policy here: https://www.wix.com/about/privacy.

Emailing someone at Cogworx

We use a third-party provider, Gmail, for our email services. Our provider uses a Secure Sockets Layer (SSL) to encrypt and protect email traffic. However, if your email service does not support SSL, you should be aware that any emails we send or receive may not be protected in transit. We will also monitor any emails sent to us, including file attachments, for viruses or malicious software.

User research participants

If you are good enough to help us out with user research, we take some personal information in order to maintain your record and reach out to you for further research opportunities. We hold:

 

  • First name

  • Last name

  • Phone number/s

  • Email address

  • Postal address

  • The last date of a research session

  • Whether you have any accessibility needs

  • Whether you are happy to be contacted for any further research sessions

  • Specific permissions with regards to session recordings (notes, audio, video)

  • Single use permissions for video or still photos to be used in specific circumstances, i.e. case studies on our website

All recordings of research sessions are deleted within 24 months of them taking place.

This information and any research session recordings are stored securely on the Cogworx Google Drive and the only people with access to these folders are the Directors of Cogworx:

  • Charlotte Wild

  • Douglas Maitland

  • Gareth Moore

 

Access to your personal information

Under the General Data Protection Regulation, individuals have the right to make a request for information, rectification, erasure, restriction, transfer, and/or object to the processing of their data. You can read more about your rights on the Information Commissioner’s Office website. 

 

A request for any of the above can be done verbally or in writing by emailing hello@cogworx.com, calling us on +44 7951 056871 or writing to us at Cogworx, York House, Maidenhead, SL6 1SF. 

 

In order to fulfill the request, we must be able to verify your identity and may ask for further details about you and your contact with Cogworx. We will respond to a request within one calendar month of receiving  it, free of charge. However, if the request is complex or there are numerous requests we may extend this deadline by a further two months and/or charge a fee. We will notify you if this is the case and explain why.

Complaints or queries

We try to meet the highest standards when collecting and using personal information. For this reason, we take any complaints very seriously. We encourage people to bring it to our attention if they think our collection or use of information is unfair, misleading or inappropriate.

We will review this privacy policy every 12 months and the last time it was reviewed was the 27th July 2022.
